  • Records are retained for a maximum of 2 years after coaching concludes, then securely deleted or destroyed.

Cancellation and Rescheduling Policy

Business Name: Journey to Her Coaching

1. Purpose

This Cancellation and Rescheduling Policy outlines how clients may cancel, reschedule, or change appointments, programs, or events offered by Journey to Her Coaching (“the Company”). It is intended to ensure respectful use of time and resources for both the client and coach, and to maintain fairness for all clients.

2. Scope

This Policy applies to all scheduled services, including:

  • One-on-one coaching sessions (online or in-person)

  • Group coaching sessions or workshops

  • Online courses with scheduled live components

It works in partnership with the Company’s Refund Policy, which governs when refunds may or may not be issued for cancellations.

3. Client-Initiated Cancellations and Rescheduling

a. Individual Coaching Sessions

  • Notice Period: Clients may cancel or reschedule a session by providing at least 24 hours notice before the scheduled start time.

  • Timely Cancellations/Reschedules: If adequate notice is given, clients may:

    • Reschedule their session once without additional cost, or

    • Request a refund in line with the Refund Policy if eligible.

  • Late Cancellations: Cancellations received less than the required notice period are non-refundable and may be forfeited. The coach is not obligated to reschedule or refund missed sessions without sufficient notice.

b. Packages and Multi-Session Programs

  • Each individual session within a package or program must also be booked or rescheduled according to the notice period noted above.

  • Repeated cancellations or missed sessions may result in forfeiture of that session or removal from the program at the Company’s discretion.

  • All sessions must be completed within the program timeframe; extensions may be granted only by written agreement.

c. Group Sessions, Workshops, or Courses

  • Because group events depend on minimum attendance, cancellations made after 7 days before the scheduled start date are non-refundable.

  • Clients who cannot attend may request to transfer their registration to a future session, if space permits, at the Company’s discretion.

4. Company-Initiated Changes

  • The Company reserves the right to postpone, reschedule, or cancel a session or program due to unforeseen circumstances (e.g., illness, technical issues, emergencies).

  • Clients will be notified as soon as possible and offered the choice of:

    • Rescheduling to a mutually convenient date, or

    • Receiving a full refund for the affected portion of the program.

5. No-Show Policy

A client is considered a “no-show” if they fail to attend a scheduled session without providing notice. A session will be determined a “no-show” at the point of 10 minutes into the session time to allow for any technical difficulties in connection via zoom. Session end time will remain the same and full charge will be in effect if client is late to attend session.

  • No-shows are non-refundable and not eligible for rescheduling.

  • After two no-shows, continued coaching services may be discontinued at the Company’s discretion.

6. Emergencies and Compassionate Exceptions

The Company understands that genuine emergencies (such as illness, family emergencies, or technical failures) may arise. In such cases, clients should contact the Company as soon as possible at journeytohercoaching@gmail.com.
Exceptions may be granted at the Company’s discretion, and proof (e.g., medical note, documentation) may be requested.

7. International Time Zones and Scheduling

Clients are responsible for confirming the correct local time for their scheduled sessions. The Company will specify time zones (e.g., Eastern Time, Canada) in all communications. Missed sessions due to time zone confusion are treated as no-shows.

8. Technical Difficulties

If technical difficulties occur on either side (e.g., connectivity issues during online coaching):

  • If the issue originates with the Company (e.g., coach internet failure), the session will be rescheduled at no charge.

  • If the issue originates with the Client, the Company will make reasonable efforts to reschedule, but repeated occurrences may result in forfeiture of that session.

9. Policy Updates

The Company reserves the right to modify or update this Policy at any time to reflect business or legal changes. Changes will be posted on our website and effective immediately upon posting. Continued use of services after notice of changes constitutes acceptance of the updated policy.

Refund Policy

1. Purpose

This Refund Policy explains the circumstances under which refunds may be granted for digital and coaching services offered by Journey to Her Coaching, a Canadian-based company (“the Company”). By purchasing services or products from us, you (“the Client”) agree to this Policy.

2. Scope of Services

This Policy applies to all services and digital offerings provided by the Company, including but not limited to:

  • One-on-one life coaching sessions (delivered via Zoom or other online platforms)

  • Group coaching programs and workshops

  • Online courses and webinars

  • Downloadable materials, templates, or digital resources

3. General Refund Terms

Our coaching and digital programs are designed to support personal and professional growth. Because outcomes depend on each client’s engagement and commitment, refunds are limited and subject to the conditions below.

4. Refund Eligibility

a. One-on-One or Group Coaching Sessions

  • Clients may cancel a scheduled session with at least 24 hours notice to receive a full refund or reschedule the session once at no cost.

  • Cancellations made after the notice period are non-refundable, though the Company may, at its discretion, offer one reschedule opportunity.

  • No refunds are available for sessions that have already taken place.

b. Coaching Packages or Programs

  • If no sessions have yet been completed, clients may cancel within 7 days of purchase for a full refund.

  • Once coaching has begun, refunds may be issued on a pro-rated basis for unused sessions, less an administration fee of 10% of the original purchase amount.

  • After 25% of the sessions in a package have been completed, no refunds will be available.

c. Online Courses, Workshops, or Digital Resources

  • Because digital products are accessible immediately upon purchase, these are non-refundable once accessed, downloaded, or logged into, as delivery is considered complete.

  • If a course or workshop is cancelled by the Company, clients will receive a full refund or a credit toward future services.

5. International Clients

We welcome clients worldwide. All transactions are processed in Canadian dollars (CAD) unless otherwise indicated.

Clients residing outside of Canada acknowledge that:

  • Local taxes or currency conversion fees may apply.

  • This Policy is governed primarily by Canadian law, specifically the laws of the Province of Ontario and the federal laws of Canada applicable therein.

  • If local consumer protection laws in your jurisdiction provide mandatory rights (e.g., cooling-off periods or refund entitlements), the Company will honour those rights as required.

6. Digital Delivery and Access

The Client understands that once access to digital materials, online courses, or private coaching links (such as Zoom or portal access) is granted, the purchase is complete, and those products are non-refundable.

7. Cancellations or Changes by the Company

If the Company must cancel or reschedule a session or program for any reason, clients will be notified promptly. Clients may choose between:

  • A full refund for the affected portion; or

  • A credit toward a future session or program.

8. Refund Request Process

Refund requests must be submitted in writing to journeytohercoaching@gmail.com within the applicable eligibility period.
The Company aims to respond within 2 business days of receiving the request.
Approved refunds will be processed to the original payment method within 10 business days subject to standard processing times by banks or payment providers.

9. Non-Refundable Situations

Refunds will not be issued for:

  • Missed or unattended sessions without notice

  • Dissatisfaction based on subjective outcomes (as coaching success depends on client participation)

  • Digital materials once accessed, downloaded, or viewed

  • Expired packages or unused sessions after the program end date

10. Amendments and Updates

The Company reserves the right to modify or update this Policy at any time to reflect business or legal changes. Changes will be posted on our website and effective immediately upon posting. Continued participation constitutes acceptance of the updated terms.
